What to know

Three different jobs

A document arriving, a field being extracted and a record being accepted are separate events. A file can arrive successfully while containing the wrong period. A parser can return a number while attaching it to the wrong row. An import can finish while duplicating a previous record. Treat these as different checkpoints rather than one green success message. This guide proposes an operating method; it is not a description of a particular product’s safeguards.

Start with the destination

Write the output you actually need before choosing a parser. A fictional delivery-note task might require a document reference, item code, quantity and unit for each row. A readable paragraph is not a substitute for those fields. Conversely, a one-off summary may not need a structured import at all. Name the intended destination, who reviews the output and what must remain blank when the document does not contain an answer.

Keep a small evidence trail

For each sample, retain an approved original, the expected fields, the extraction result and the reviewer’s decision in your own authorized workspace. Use anonymous examples while learning. A result marked accepted should be traceable to a specific sample and rule version, not merely to a supplier name. The minimum useful record explains what was checked and what remains uncertain; it does not require copying private documents into another tool.

Decide where automation stops

Automation is a candidate when repeated work has a stable acceptance rule. It is a poor choice when nobody can say what a correct output looks like or when an unreviewed error could trigger an important action. Begin with a review-only output and no downstream writes. Continue to the method selector if the task is clear, or to the field contract if different reviewers expect different results. Neither outcome requires a purchase.
