Inspect the source you received
Start with the actual permitted file rather than a screenshot of a preview. Check whether pages are missing, rotated, cut off or mixed with unrelated attachments. If a quantity is unreadable in the source, a confident output does not make it trustworthy. Keep the original unchanged while investigating; otherwise the next reviewer cannot tell whether a different result came from a new input or a changed extraction method.
Separate visual and structural problems
A readable document can still have awkward table structure, repeated headings or wrapped descriptions. A clean-looking scan can contain ambiguous characters. Record the symptom precisely: missing row, substituted character, wrong column, merged cell or absent page. These categories help compare methods without presuming the cause. This publication has not measured any vendor’s OCR quality; the feature documents establish available options, not performance on your files.
Build a simple input checklist
A useful intake note records page count, document class, orientation, visible damage and expected output. For a fictional three-page delivery note, the reviewer expects one reference and fourteen item rows across all pages. A result with fourteen rows still needs field checks: a repeated heading can replace a missing item and leave the count unchanged. Pair count checks with identifiers or a known expected list where available.
Do not repair by guessing
Ask for a better source through your approved process when essential information cannot be read. If that is impossible, leave the affected field unresolved and route it to the responsible person. Do not invent a number because a downstream form requires one. Continue with the missing-fields guide for null handling, or the line-items guide when the source is readable but row boundaries are wrong. An unresolved case can be the correct outcome.
