Best email parser: six tools compared by price, setup and limits

Quick answerThere is no single best email parser. Zapier's parser suits a few fixed-layout emails, Mailparser suits rule-based email work, and Parsio or Parseur suit teams that also parse PDF attachments.

The best email parser depends on what your emails look like

The best email parser for most small businesses is the cheapest one that handles their actual mail: Email Parser by Zapier for a handful of fixed-layout notification emails, Mailparser for rule-based parsing of email bodies at volume, and Parsio or Parseur when the data sits in PDF attachments as well as in the message text. An email parser is a tool that receives a copy of an email, pulls named fields out of it (order number, customer name, total) and sends them to a spreadsheet or another system.

This comparison is based on each vendor's own pricing and help pages, read on 3 October 2026. Nothing here was tested hands-on, so treat it as a shortlist to trial, not a ranking of results. Prices can change.

The allowances are not like for like. Parsio charges one to three credits per document or page depending on the parser engine, Parseur and Airparser count pages, and Mailparser counts emails. Work out your monthly volume in each vendor's unit before comparing dollars. The operating cost page shows how to do that.

What each email parser is best at, and one limitation

  • Parsio: four engines in one account (templates, pre-trained AI models, a GPT-powered parser and an OCR converter), so the same tool covers email bodies and PDF attachments. Limitation: the AI engine costs 3 credits a page, so a 100-credit plan covers about 33 invoice pages.
  • Mailparser: 250 emails a month and 20 inboxes on the entry plan, with rule-based parsing of email bodies. Limitation: on the Starter plan, duplicate detection, webhook retries and multifactor authentication are paid add-ons.
  • Parseur: both an AI engine and a template engine on every tier, including the free one. Limitation: post-processing and multi-user accounts are reserved for plans of 10,000 credits or more.
  • Airparser: built around large language model extraction, with OCR on every plan. Limitation: the entry plan keeps documents for 30 days.
  • Email Parser (emailparser.com): connects to Gmail, Office 365, Exchange, IMAP or POP accounts directly and also sells a Windows app at $145 a year that runs on your own computer. Limitation: local file parsing is only in the Windows app, not the web app.
  • Email Parser by Zapier: the simplest setup: send a sample email to the mailbox and highlight the text you want. Limitation: Zapier's help page says it accepts only 15 templates, and several attachments arrive as one zipped file.

Where Parsio fits among email parsing tools and where it does not

Parsio fits when your inbox carries mixed material: transactional emails with a stable layout, plus invoices, receipts or statements attached as PDFs. Its template parser costs 1 credit per document, and the same account can switch to an AI or GPT engine for attachments. Our Parsio review covers the engines in more detail.

Parsio does not fit as well when you only parse plain email bodies at volume. Mailparser's entry plan covers 250 emails for $29.95, while Parsio's 100-credit Starter covers 100 template-parsed emails for $29. Which email parser to choose by buyer type

  • A few fixed-format emails feeding a Zap: start with Email Parser by Zapier.
  • Hundreds of web-form or lead emails a month, body text only: Mailparser.
  • Emails plus PDF invoices, receipts or statements: Parsio, or Parseur if you want one credit per page whichever engine does the work.
