Email parser for Gmail: forwarding rules, add-ons and connectors

Gmail does not parse emails, but it can forward them to a parser

An email parser for Gmail is a separate tool that receives copies of your Gmail messages and turns them into rows of data, because Gmail itself only sorts and forwards mail. The job most small businesses need done is narrow: every time an order confirmation, lead notification or supplier invoice lands in Gmail, put its key fields into a spreadsheet or business system without retyping.

There are three ways to get mail from Gmail to a parser: a forwarding rule, an add-on that reads the mailbox from inside Google Sheets, or a connector such as Zapier or Make. They differ in setup effort and in how much access you hand over.

The Xtractor add-on's Google Workspace Marketplace listing, updated on June 26, 2026, describes its pricing as free of charge with paid features and says imports run inside Google Sheets with no external service. Parsio's own Gmail page describes the forwarding route and the Zapier or Make route.

What Google's own Gmail tools do

Google's help pages describe two built-in pieces. Automatic forwarding sends all new messages, except spam, to an address you have verified by clicking a link sent to it. Filters let you forward only messages that match a search, using the Forward it option. Google notes that a forwarding filter affects new messages only, and that you need one filter per forwarding address.

Neither tool extracts fields. For that, Google offers Apps Script, whose GmailApp service gives a script access to threads, messages and labels and can search the mailbox. If you are comfortable writing a script and your emails follow one layout, that route needs no extra tool and may be all you need. If not, a parser is simpler. The method selector helps you decide.

Setting up Parsio with Gmail, and which plan fits

  1. Create a mailbox in Parsio and copy its address, which ends in io.parsio.io.
  2. In Gmail settings, open Forwarding and POP/IMAP, add that address and confirm the verification message Google sends to it.
  3. Create a Gmail filter for the sender or subject you want and choose Forward it. Parsio's help center recommends forwarding only the emails you want parsed, not the whole inbox.
  4. Pick the engine: the template parser for fixed-layout emails, a pre-trained AI model for invoices and receipts, or the GPT-powered parser for messy layouts.
  5. Export to Google Sheets, CSV, Excel, a webhook or an automation platform.

To backfill old mail, Parsio can import existing Gmail messages. That needs a Google app password, which in turn requires 2-Step Verification. Plans as read on 3 October 2026: Free with 30 credits a month, Starter at $29 a month for 100 credits or $49 a month for 1,000 credits, and Growth at $149 a month for 5,000 credits (monthly billing; annual billing is about 17% lower). A worked example with Parsio credits

Say a shop's Gmail receives 400 order emails a month in one fixed layout and 120 supplier invoices as two-page PDF attachments. The template parser costs 1 credit per document, so the order emails use 400 credits. The AI parser costs 3 credits per page, so the invoices use 720 credits. That is 1,120 credits, just over the 1,000-credit Starter option, which pushes the shop to Growth at $149 a month. Moving the invoices to the GPT-powered parser at 2 credits a page brings the total to 880 credits and keeps it on the $49 tier.

Parsio's pricing page describes no overage fee. When credits run out, mail is still received but is not parsed until the next period, unless you upgrade or renew early.

The limitation Gmail users should know, and an alternative

Forwarding changes the email. Zapier's help page for its own parser warns that forwarded messages can pick up extra threads, signatures and indented content that confuse a template. Use an automatic filter, not manual forwards, so every copy arrives in the same shape, and keep your sample emails in the same form. Also budget for attachments: each page of a PDF parsed by the AI, GPT or OCR engine uses credits at that engine's rate.
